How Callsheet Pro works
Callsheet Pro turns any call sheet into an instant, interactive shoot day: crew, locations, schedule, and scenes at your fingertips. One tap to call. One tap to navigate. This page walks through every feature.
The app is the same on iPhone, Android, and the web at app.callsheetpro.app. Features marked Pro are part of the Pro subscription; everything else is free.

Getting started
Download the app from the App Store or Google Play, or open it in any browser at app.callsheetpro.app. Sign in with one tap using Apple or Google, or with email and password. Your call sheets stay on your account, so everything syncs across your phone, tablet, and computer.
On first launch a short tour shows you around and asks for your language, your role on set, and which navigation app you prefer. You can skip it, and replay it any time from Settings under App tour. A demo call sheet is included, so you can see a full shoot day before you upload anything.
The app follows your phone's own text size setting, so if you have set larger type system-wide, the call sheet comes up in larger type too.
Adding a call sheet
There are several ways to get a call sheet into the app. Whichever you use, the app reads the document and builds the interactive day for you: call times, crew, locations, schedule, scenes, and notes, in any language.
Upload a file
Tap Upload call sheet and pick a file. PDF, Word, and Excel all work, up to 10 MB. You can select several files at once and they are processed together.
Snap a photo
Got a printed sheet pinned to the wall? Point your camera at it. A photo of a paper call sheet parses just like a PDF.
Share from another app
Wherever the call sheet lands, in your email, WhatsApp, or Files, tap the system share button and choose Callsheet Pro. The file is picked up and parsed without you having to save it first.
Email forwarding
Every account gets a personal forwarding address, found in Settings under Email Forwarding. Forward any call sheet email to it and the attachment appears in the app automatically, parsed and ready. You can reset the address whenever you want.
Setting up automatic forwarding at your mail provider. Most providers will not forward to an address they have not verified: when you add your forwarding address in their settings (Gmail: Settings, Forwarding and POP/IMAP; Zoho: Settings, Mail accounts, Forwards; GMX and web.de: Weiterleitung), they send a confirmation code or link to that address. Because that address is the app, the code arrives in the app and in your inbox: open Settings, Email Forwarding, and it is waiting for you there, and a copy is emailed to you. Copy it back into your provider's settings, or use the confirmation link. Confirming does not switch forwarding on by itself: turn it on in the same settings and save. Gmail only lets you set forwarding up on a computer, not in the Gmail app. iCloud and Outlook.com ask for no code.
Forward only your call sheets. Rather than forwarding your whole inbox, set up a filter or rule that forwards only mail with attachments from your production. In Gmail, on a computer: search for the production's email address, open the search options, tick Has attachment, choose Create filter, tick Forward it to and pick your Callsheet Pro address. The rest of your mail stays where it is, and nothing unrelated counts against the 25 emails a day your address accepts.
Outlook at work (Microsoft 365). Most companies block automatic forwarding to outside addresses. You see a bounce that mentions "550 5.7.520", and nothing reaches the app. No code can fix this: ask your IT department to allow automatic forwarding to inbox.callsheetpro.app. Forwarding one email by hand is never blocked.
Rules in Apple Mail on a Mac. A Mail rule that forwards messages sends the text and leaves the attachment behind, so the call sheet never arrives. Set the forward up at your mail provider instead (iCloud.com, Gmail, Zoho and most others forward from their own servers, attachment included), or forward the email by hand from your phone. If you keep a Mail rule, choose the action Redirect Message rather than Forward Message: redirecting sends the original email on, attachment included.
Add a schedule or scene list to a day Pro
Got a revised schedule as a photo or a separate file, on a day you already have? Open the Shooting schedule or Scenes section in edit mode and tap Import from file. The upload sheet opens on that day, reads the rows out of the document and appends them, so you do not have to type a new schedule or start a new sheet. It uses one upload from your monthly allowance.
Several days in one file
Have one planning document that covers the entire shoot? Pick Several days in one file in the upload sheet, or start from New production in All Days, and the app builds a day for every shoot day it finds, with a shared crew list across all of them.
Parsing happens in the background
You do not have to wait. Uploads are processed on our servers, so you can close the app; on your phone you get a push notification the moment the day is ready. In-progress uploads show at the top of the Today screen, with a retry option if a document could not be read.
Monthly limits
The free plan includes 3 call sheet uploads per month. Pro raises that to 100 per month. Viewing and opening sheets shared with you never counts against it.
Your shoot day
The Today tab is home. If you have a shoot today, it opens straight into that day. If not, you see your full call sheet history, searchable by title, crew member, location, or date.
On the day itself, the view is built for a dark set and a quick glance:
- General call and your call. The big time at the top. Once you have told the app who you are on the sheet, it shows your personal call time, not just the general one.
- Expected wrap, plus sunrise and sunset when the sheet includes them.
- Live weather for the shoot location, with a tap to refresh.
- What's shooting now. During the day, a scene strip follows the clock: what's done, what's now shooting, what's up next, and how many minutes until it starts.
- Tomorrow preview. On multi-day shoots, the next day's call time and forecast are one glance away, and you can page between all days of the production.
The All Days tab lists every shoot day you have, grouped by production, including sheets shared with you. Swipe to delete, reorder, or move days between productions.
Everything on a day
Each parsed call sheet is organized into clear sections. Sections only appear when the sheet actually contains that information.

Your personal call time
Open a day and tap Your call time, then pick yourself from the crew list. From then on the header shows your call, your name is highlighted in the crew list, and the team filter knows which schedule items are yours. It's one tap, once per production.
Search your call sheets
Tap Search at the top of All Days, or type into the search box on Today and tap Search all call sheets. Inside a day it is in the menu at the top right, and on a computer in the day's header. Type a name, a role, a phone number, a place, a time or any word: "gaffer", "lunch", "parking", "hospital". Every match from all your call sheets, past shoots included, appears as you type: people with message and call buttons, schedule lines, locations, scenes and notes, with the nearest day first. Tap one to open that day. Add a word to narrow it down: "lunch thursday". Matching runs on your device, so it works without signal.
To ask a question instead, type it and tap Ask, or press the search key: "Which hotel did we have in Brussels?", "Who was the DOP on that shoot?". The answer names the people and days it found, with call and message buttons, and you can ask a follow-up. Abbreviations, typos and other spellings of a place are fine. Questions need a connection.
Editing a call sheet Pro
Schedules change. Tap the pencil on any day, then tap any row to fix it: call times, locations, parking, schedule items, scenes, crew, cast, notes, gear, anything. Shift a schedule item and the app offers to shift everything after it too. Rows keep time order: give a new location or schedule item a time and it moves to its place in the list, and the earliest location becomes the one the Today card and the share message show. Changes save automatically, sync to all your devices, and reach everyone you have shared the sheet with within seconds. No re-upload, no new PDF.
Productions
A production groups every day of a shoot in one place. Create one from All Days, then add days by uploading sheets, starting blank days, or attaching days you already have. Multi-day productions carry a shared crew roster and defaults across days, page between days inside the shoot, and can be shared as a whole. Building multi-day productions with a default crew roster is a Pro feature.
Sharing with your crew
Open a day or production and tap Share. You get a share code, a link, and a QR code. Your crew sign in once with Apple, Google, or email, enter the code (or scan the QR), and the call sheet opens straight in their app, on their account, on every device.
- Live shares. Share a production and recipients follow it live: every edit you make lands on their phones within seconds.
- Single days. Share one call sheet and your crew get a full copy they can view offline.
- See who joined. The share screen lists everyone on the share. You can promote a crew member to admin so they can edit too, or take that back.
- Stop any time. Revoke a share and the link and code stop working immediately. Share links expire on their own after 30 days.
Private things stay private: My Wrap and its notes are never included in a share.
Notifying your crew Pro
When something changes, tap the bell on a shared production to push a message to everyone following it: a schedule change, a location change, a warning, or a general note. You choose whether it applies to the whole production or one day, see a preview, and afterwards see how many crew members received it.
Stealth Sharing Pro
For sheets that cannot leak. Stealth Sharing is a controlled way to share sensitive call sheets:
- Named access, approved per person. Every viewer enters their name and email, and you approve or deny each one individually. Revoke anyone at any time.
- You hear about requests right away. When someone asks for access, your phone gets a notification and a bell appears at the top of the app. Approve or deny straight from the bell; the full dashboard keeps the details and the log.
- NDA on entry. Each viewer must accept your NDA before seeing anything; acceptance is recorded with name, email, device, and time.
- Traceable watermark. The viewer's own name, email, and the date are woven across the sheet, so a leaked image points to its source.
- Screenshot protection. On iPhone and Android the sheet blocks screen capture at the system level, and capture attempts are detected and logged with the viewer's name.
- Kill switch. One tap and every viewer loses access instantly. The log stays.
- Audit log. Every code entry, NDA acceptance, open, view duration, and capture attempt is recorded.
We are honest about the limits: no app can prevent a second camera pointed at a screen. The watermark exists so that if a sheet does leak, you know exactly who leaked it.
My Wrap Pro
Track your working day for invoicing. My Wrap is private to you and never travels with a share. Tap Start My Wrap and it opens already filled in from the call sheet: your call time, the wrap time, and what repeats from your previous day. Its notes field is also the place for your own reminders on a day ("great take on scene 12"); notes written in the old private-notes section show up here, and their photos are listed under Documents.
- Hours. Start and end time with the total calculated for you, an unpaid break to subtract, overtime, and travel time.
- Distance. Either the distance you drove, or your odometer reading when you left and when you got back, whichever way you keep track. Tap km or mi next to the field to switch units; the app remembers your choice for every day after that.
- Expenses. A line per cost, with what it was for and the amount: parking, tolls, taxi.
- Daily fees. Flags for per diem, kit rental, and travel day, so your invoice reflects what the day actually was.
- Invoice info. Production company, project number, and invoice email. Taken from the sheet when it has them; type them in when it doesn't, and what you type is what goes on the PDF.
- Notes. Invoice number, or anything else accounting needs.
When it's time to invoice, tap Send My Wrap and the app builds a branded PDF of the whole day, with the call sheet attached, ready to send to accounting.
Audio frequencies
A shared wireless frequency list for the sound department, free for everyone. List each channel with its name, group, and frequency; apply it to one day or the whole production; and copy it between productions. Everyone the sheet is shared with sees the same list.
On a computer
Everything you have on your phone is also at app.callsheetpro.app, on the same account. Open it in a browser on a computer and four extra destinations appear in the sidebar, built for the production office rather than the set. They are web only: on a phone the app stays the focused shoot day view.
- People. Your own crew book. Everyone from your call sheets is offered here, and the ones you save can be searched by name, role, or number, marked as favourites, and added to any future day in one click. Nobody is stored on our servers unless you save them.
- Locations. The places you shoot at, kept with their address, parking notes, and gate contact, on a map. Save one once and reuse it on the next production instead of typing the parking instructions again.
- Calendar. Every shoot day in a month view, so you can see your year at a glance. Days whose date could not be read from the sheet are listed underneath, ready to be fixed.

Developer API
Building scheduling software, or does your production office use its own tools? Call sheets can be pushed straight into Callsheet Pro accounts through a simple REST API, no PDF needed. Callsheet Pro Studio (teams)
Production companies can put their whole team on Pro with Callsheet Pro Studio: from 10 seats, billed yearly per seat, one invoice for the company. Buy it on the web at app.callsheetpro.app/studio. Once you have a team, open it from the Studio card at the top of Settings on any device, or from Studio in the sidebar on a computer.
- Joining: the company shares one invite code. Enter it once in Settings under Redeem invite code and your account gets full Pro for as long as the company subscription runs.
- The buyer needs a seat too: buying Studio does not put your own account on Pro. If you want a seat yourself, enter the invite code in Settings under Redeem invite code like everyone else; it uses one of your seats.
- Managing: the buyer sees the team roster on the Studio page, can remove someone to free their seat, and can generate a new invite code at any time (the old code stops working immediately; current members keep their seats). Someone you remove cannot rejoin with the code they already have; generate a new code if you want them back.
- Sharing the code: on the Studio page, Share code sends one message with the team name, the code and where to enter it, through WhatsApp or whatever you use. Show QR code puts the same message on screen for someone to scan with their phone camera.
- Approving people: with Approve new members on, everyone who enters the code waits for you. Your phone gets a notification for each request (if you allowed notifications), and you approve them on the Studio page on your phone or computer.
- Seats: add or remove seats under Manage billing, on the web. Added seats are charged right away for the rest of the year. If you go below the number of people on the team, the most recent joiners lose their seat straight away.
- Members who already pay for Pro personally keep their own subscription; a Studio seat never replaces or shortens it.
Privacy
Your call sheets are yours. They are private to your account, encrypted in transit, and never sold. Sharing is always explicit: nothing leaves your account unless you create a share, and you can revoke any share at any time. Full details in the privacy policy.
