How Callsheet Pro works
Callsheet Pro turns any call sheet into an instant, interactive shoot day: crew, locations, schedule, and scenes at your fingertips. One tap to call. One tap to navigate. This page walks through every feature.
The app is the same on iPhone, Android, and the web at app.callsheetpro.app. Features marked Pro are part of the Pro subscription; everything else is free.
Getting started
Download the app from the App Store or Google Play, or open it in any browser at app.callsheetpro.app. Sign in with one tap using Apple or Google, or with email and password. Your call sheets stay on your account, so everything syncs across your phone, tablet, and computer.
On first launch a short tour shows you around and asks for your language, your role on set, and which navigation and messaging apps you prefer. You can skip it, and replay it any time from Settings under App tour. A demo call sheet is included, so you can see a full shoot day before you upload anything.
Adding a call sheet
There are several ways to get a call sheet into the app. Whichever you use, AI reads the document and builds the interactive day for you: call times, crew, locations, schedule, scenes, and notes, in any language.
Upload a file
Tap Upload Callsheet and pick a file. PDF, Word, and Excel all work, up to 10 MB. You can select several files at once and they are processed together.
Snap a photo
Got a printed sheet pinned to the wall? Point your camera at it. A photo of a paper call sheet parses just like a PDF.
Share from another app
Wherever the call sheet lands, in your email, WhatsApp, or Files, tap the system share button and choose Callsheet Pro. The file is picked up and parsed without you having to save it first.
Email forwarding Pro
Pro members get a personal forwarding address, found in Settings under Email Forwarding. Forward any call sheet email to it and the attachment appears in the app automatically, parsed and ready. You can reset the address whenever you want.
Import a whole shoot at once
Have one planning document that covers the entire shoot? Import it when creating a Production and the app builds a day for every shoot day it finds, with a shared crew list across all of them.
Parsing happens in the background
You do not have to wait. Uploads are processed on our servers, so you can close the app; on your phone you get a push notification the moment the day is ready. In-progress uploads show at the top of the Today screen, with a retry option if a document could not be read.
Monthly limits
The free plan includes 3 call sheet uploads per month. Pro raises that to 100 per month. Viewing, searching, and opening sheets shared with you are always unlimited.
Your shoot day
The Today tab is home. If you have a shoot today, it opens straight into that day. If not, you see your full call sheet history, searchable by title, crew member, location, or date.
On the day itself, the view is built for a dark set and a quick glance:
- General call and your call. The big time at the top. Once you have told the app who you are on the sheet, it shows your personal call time, not just the general one.
- Expected wrap, plus sunrise and sunset when the sheet includes them.
- Live weather for the shoot location, with a tap to refresh.
- What's shooting now. During the day, a scene strip follows the clock: what's done, what's now shooting, what's up next, and how many minutes until it starts.
- Tomorrow preview. On multi-day shoots, the next day's call time and forecast are one glance away, and you can page between all days of the production.
The All Days tab lists every shoot day you have, grouped by production, including sheets shared with you. Swipe to delete, reorder, or move days between productions.
Everything on a day
Each parsed call sheet is organized into clear sections. Sections only appear when the sheet actually contains that information.

Your personal call time
Open a day and tap Your call time, then pick yourself from the crew list. From then on the header shows your call, your name is highlighted in the crew list, and the team filter knows which schedule items are yours. It's one tap, once per production.
Ask AI
Tap Ask AI on any day and ask in plain language: "What's my call time?", "When's lunch?", "Where do I park?", "Which day is the hospital scene?". The AI answers from your call sheets, including past shoots, and you can ask follow-up questions. AI search is unlimited on every plan, free included.
Editing a call sheet Pro
Schedules change. Tap the pencil on any day, then tap any row to fix it: call times, locations, parking, schedule items, scenes, crew, cast, notes, gear, anything. Shift a schedule item and the app offers to shift everything after it too. Changes save automatically, sync to all your devices, and reach everyone you have shared the sheet with within seconds. No re-upload, no new PDF.
Productions
A production groups every day of a shoot in one place. Create one from All Days, then add days by uploading sheets, starting blank days, or attaching days you already have. Multi-day productions carry a shared crew roster and defaults across days, page between days inside the shoot, and can be shared or archived as a whole. Building multi-day productions with a default crew roster is a Pro feature.
Sharing with your crew
Open a day or production and tap Share. You get a share code, a link, and a QR code. Your crew sign in once with Apple, Google, or email, enter the code (or scan the QR), and the call sheet opens straight in their app, on their account, on every device.
- Live shares. Share a production and recipients follow it live: every edit you make lands on their phones within seconds.
- Snapshots. Share a single day as a full offline copy instead.
- See who joined. The share screen lists everyone on the share. You can promote a crew member to admin so they can edit too, or take that back.
- Stop any time. Revoke a share and the link and code stop working immediately. Share links expire on their own after 30 days.
Private things stay private: your notes and your day log are never included in a share.
Notifying your crew Pro
When something changes, tap the bell on a shared production to push a message to everyone following it: a schedule change, a location change, a warning, or a general note. You choose whether it applies to the whole production or one day, see a preview, and afterwards see how many crew members received it.
Stealth Mode Pro
For sheets that cannot leak. Stealth Mode is a controlled way to share sensitive call sheets:
- Named access, approved per person. Every viewer enters their name and email, and you approve or deny each one individually. Revoke anyone at any time.
- NDA on entry. Each viewer must accept your NDA before seeing anything; acceptance is recorded with name, email, device, and time.
- Forensic watermark. The viewer's own name, email, and the date are woven across the sheet, so a leaked image points to its source.
- Screenshot protection. On iPhone and Android the sheet blocks screen capture at the system level, and capture attempts are detected and logged with the viewer's name.
- Kill switch. One tap and every viewer loses access instantly. The log stays.
- Audit log. Every code entry, NDA acceptance, open, view duration, and capture attempt is recorded.
We are honest about the limits: no app can prevent a second camera pointed at a screen. The watermark exists so that if a sheet does leak, you know exactly who leaked it.
Private notes
Every day has a My notes section that only you can see: quick thoughts, reminders, and photos ("great take on scene 12"). Notes are never shared, and you can export them as a clean branded PDF.
Day log Pro
Track your working day for invoicing: start and end time with total hours, odometer start and end with total kilometers, plus notes. Like your notes, the day log is private to you. When it's time to invoice, tap Send my work log and the app builds a branded PDF of your hours and mileage, with the call sheet attached, ready to send to accounting.
Audio frequencies
A shared wireless frequency list for the sound department, free for everyone. List each channel with its name, group, and frequency; apply it to one day or the whole production; and copy it between productions. Everyone the sheet is shared with sees the same list, and crew members can suggest changes for the owner to approve.

Privacy
Your call sheets are yours. They are private to your account, encrypted in transit, and never sold. Sharing is always explicit: nothing leaves your account unless you create a share, and you can revoke any share at any time. Full details in the privacy policy.
